Terms and Conditions

Welcome to Old Spruce Farms! These Terms and Conditions outline the rules and regulations for renting and using our venue located at 9127 Long Rd, Ostrander, OH 43061. By booking an event or accessing our website, you agree to comply with these terms. Please read them carefully before proceeding with your reservation or use of our services.
1. Venue Use
Old Spruce Farms is available for private events such as weddings, family gatherings, corporate functions, and more. By renting our venue, you agree to the following:
- You are responsible for all event-related activities, including setup, cleanup, and ensuring the venue is left in the condition it was found.
- Any damages to the property or equipment will be the responsibility of the event organizer, and repair or replacement costs will be billed accordingly.
- You agree to adhere to all local laws and ordinances while using our venue.
2. Reservation and Payment
To secure your event date at Old Spruce Farms, the following terms apply:
- A signed rental agreement and a non-refundable $500.00 deposit are required to confirm your reservation.
- The remaining balance is due [X days/weeks] before the event date.
- If payment is not received by the due date, we reserve the right to cancel your reservation and retain the deposit.
- All payments must be made in cash, check, money, credit card, or bank transfer.
3. Cancellations and Rescheduling
We understand that circumstances can change, and we offer the following cancellation and rescheduling policies:
- The initial deposit is non-refundable under any circumstances.
- Cancellations made within 60 days of the event date will result in the forfeiture of the full rental fee.
- Rescheduling is allowed based on availability, and any changes must be made at least 60 days before the event date. Additional fees may apply for rescheduled dates.
4. Alcohol and Catering
Alcohol is permitted at Old Spruce Farms under the following conditions:
- Alcohol must be served by a licensed and insured bartender or catering service.
- A valid liability insurance certificate must be provided prior to the event if alcohol is served.
- Old Spruce Farms reserves the right to shut down alcohol service if these terms are not met or if behavior becomes unsafe.
5. Vendor Policy
You are welcome to use outside vendors for catering, entertainment, décor, and other services. However, the following conditions apply:
- All vendors must be licensed and insured, and proof of insurance may be required.
- You are responsible for ensuring that all vendors adhere to Old Spruce Farms' policies, including setup and breakdown timelines.
- Any damage caused by vendors will be billed to the event organizer.
6. Liability and Insurance
Old Spruce Farms requires that all event organizers provide a certificate of liability insurance covering the event. This certificate must:
- Include general liability coverage of at least $1,000,000.
- Name Old Spruce Farms as an additional insured for the duration of your event.
- Be submitted no later than 90 days before the event date.
Old Spruce Farms is not responsible for any personal injuries, lost or damaged property, or other incidents that may occur during your event. The event organizer is fully responsible for the conduct and safety of all guests.
7. Event Conduct
We expect all guests and vendors to conduct themselves respectfully while on Old Spruce Farms property. The following actions are strictly prohibited:
- Smoking inside any building on the property (designated smoking areas are provided).
- Use of fireworks, confetti, or other hazardous materials are not permitted.
- Damage or defacement of any property, including landscaping and indoor fixtures.
Old Spruce Farms reserves the right to terminate an event early if guests engage in unlawful or disruptive behavior.
8. Noise Restrictions
To respect our neighbors, we enforce the following noise policies:
- All amplified music must end by 10:00 PM.
- Guests must vacate the property quietly to avoid disturbing the surrounding area.
- Failure to comply with these noise restrictions may result in an early termination of the event without a refund.
9. Weather and Outdoor Events
For outdoor events, it is the responsibility of the event organizer to have a backup plan in the event of inclement weather. Old Spruce Farms is not responsible for weather-related cancellations, but we are happy to discuss tent rentals or other options to accommodate your needs.
10. Pets
Pets are allowed at outdoor events with prior approval from Old Spruce Farms. Pet owners are responsible for cleaning up after their animals and ensuring that they are properly supervised throughout the event. Any damage caused by pets will be billed to the event organizer.
11. Force Majeure
Old Spruce Farms is not liable for cancellations or disruptions to events caused by circumstances beyond our control, including but not limited to:
- Natural disasters (floods, fires, earthquakes, etc.)
- Government actions or restrictions
- Public health emergencies
- Power outages or other utility failures
In such cases, we will work with the event organizer to reschedule the event to a mutually agreed date without additional fees.
12. Termination of Agreement
Old Spruce Farms reserves the right to terminate the rental agreement at any time if the event organizer or guests violate these Terms and Conditions. In such cases, no refunds will be issued.
13. Changes to Terms and Conditions
Old Spruce Farms reserves the right to update or modify these Terms and Conditions at any time. Any changes will be posted on our website, and it is the responsibility of the event organizer to review them before booking.
